WalkRound Privacy Policy

This Privacy Policy explains how Mind Mirage Apps (“we”, “us”, “our”) handles personal data when you use WalkRound, our fleet walkaround and attendance service for drivers and office staff. WalkRound is not a payroll system and does not contain advertising.
Who this applies to
WalkRound is used by transport operators and their staff. Your employer (the “office”) manages your access. If you are a driver, your office is usually the data controller for your work-related information. We act as a processor on their instructions when providing the service.
Accounts and sign-up
- Company sign-up is on the web only. New organisations register at mindmirageapps.com/apps/walkround/signup. The mobile and desktop apps are sign-in only for office staff.
- The driver mobile app is sign-in only. Drivers cannot create an account in the app.
- Office staff create driver logins (username and password). Drivers cannot sign up for themselves or delete their own account.
- To request account changes or removal, contact your employer first. You may also email us at support@mindmirageapps.com.
Information we collect
Depending on how your organisation uses WalkRound, we may process:
- Name and office email address
- Job title, role and profile details set by your organisation
- Shift records and attendance information
- Walkaround check results
- Vehicle defect reports and related notes
- Photos attached to defect reports
- Support emails you send to us
- Technical and diagnostic data needed to run the service securely
Location data
Location is used only for depot attendance. Specifically:
- A location point when you start or end a shift at the depot
- Optional automatic detection of arrival at the depot, if your organisation enables it
We do not provide live tracking, route history or continuous location monitoring. We do not sell personal data or location data.
Photos
Photos are collected for vehicle defects only, to support walkaround checks and maintenance records for your organisation.
How we use information
- Provide WalkRound to your organisation, including the driver app and office web portal
- Record shifts, attendance, walkarounds and defects as instructed by your organisation
- Maintain security, prevent misuse and fix faults
- Respond to support and privacy enquiries
- Meet legal and regulatory obligations
Where data is stored
WalkRound data is hosted on Supabase. Crash reports and error diagnostics may be sent to Sentry to help us improve reliability. These providers process data under their own terms and privacy policies, as our sub-processors.
Sharing
We do not sell your personal data. We share information only where needed to run WalkRound (for example with hosting and diagnostics providers), where your organisation instructs us as part of the service, or where required by law.
Retention
We keep personal data only for as long as needed to provide the service, meet our legal obligations, resolve disputes and maintain security. Your organisation may set retention rules for operational records.
Your rights (UK GDPR)
Under UK data protection law, you may have rights to access, rectify, erase, restrict or object to processing, and to data portability, where applicable. You may also complain to the Information Commissioner’s Office (ICO).
